Privacy Policy

SensesWA is committed to providing quality services to you and this policy statement outlines our ongoing obligations to you in respect of how we manage your Personal Information. 

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

This policy aligns with the requirements of the NDIS Code of Conduct, NDIS Practice Standards, and other relevant legislation. 

What is Personal Information and why do we collect it? 

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include your:  

  • Full name 
  • Date of birth  
  • Address 
  • Email address 
  • Phone and facsimile numbers 

This information may be collected through interviews, correspondence, telephone, email, our website www.senseswa.com.au, media and publications, cookies, and third parties. We do not guarantee the privacy practices of authorised third parties or links to external websites. 

We collect your personal information for the primary purpose of delivering services, providing information, and managing client and stakeholder relationships. We may also use your information for secondary purposes closely related to the primary purpose, where you would reasonably expect such use or disclosure. 

You may unsubscribe from our mailing or marketing lists at any time by contacting us in writing at admin@senses.org.au. 

Where appropriate, we will inform you of the reason for collection and how we plan to use your information at the time of collection or as soon as practicable thereafter. 

Sensitive Information 

Sensitive Information is defined under the Privacy Act 1988 and includes information or an opinion about an individual’s: 

  • Racial or ethnic origin 
  • Political opinions 
  • Religious or philosophical beliefs 
  • Membership of a trade union or professional association 
  • Criminal record 
  • Health or disability-related information 
  • Sexual preferences or practices 

Sensitive information will only be collected, used, or disclosed by SensesWA: 

  • For the primary purpose for which it was obtained 
  • For a secondary purpose directly related to the primary purpose 
  • With your consent 
  • Where required or authorised by law 

Third Parties 

Where reasonable and practicable, we will collect your personal information directly from you. However, we may receive personal information from third parties, such as referrers or guardians. In such cases, we will take reasonable steps to ensure you are aware of the information collected and the context in which it was provided. 

Disclosure of Personal Information 

Your personal information may be disclosed under the following circumstances: 

  • To third parties where you consent to the use or disclosure 
  • Where required or authorised by law  
  • Where necessary to support your service provision 

SensesWA does not disclose personal information to overseas recipients unless authorised by you or required by law. 

Security of Personal Information 

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure. 

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. Most personal information is retained in secure client records, which are kept for a minimum of 7 years, or as required under applicable legislation. 

Access to your Personal Information 

You may request access to your personal information subject to exceptions permitted by law. 

To request access, please contact us at quality@senses.org.au. We will not charge you for making an access request but may charge a reasonable administrative fee for providing the information. 

We may require verification of your identity before releasing information. 

In order to protect your personal information, we may require identification from you before releasing the requested information. 

Maintaining the Quality of Your Personal Information 

It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up to date. If you believe any information we hold is incorrect or outdated, please let us know as soon as practicable at admin@senses.org.au so we can update our records and continue to provide high-quality services to you.
